Once you have created your account and completed your company and employee details, it's time to create your first signature.
To do this, simply click on Signatures in the navigation bar and then on Create Signature.
Signature template
Now choose between a customizable template (recommended) or an HTML signature.
To personalize the template, first select the desired structure under “Template.”
You can then customize the template to match your corporate identity under “Design.”
Under “Details,” you can maintain data and decide which combination of user and company data should be used.
You can easily hide fields using the “eye” icon next to each placeholder.
Placeholders will then disappear directly in the live preview on the right-hand side.
You can also use the orange drop-down menu to specify the desired data source.
HTML signature
Note: We recommend HTML signatures primarily for advanced users and users with in-depth technical knowledge.
Basics:
In the upper window, you will find the structure of the signature (“what information in what order?”).
There you can also switch between the HTML version of the signature and plain text and switch to code view using the “<>” button. In this view, you can see the complete HTML structure of a signature.
In the middle, you can use a drop-down menu to generate a preview for a specific person.
In the lower window, you can then see what the signature will look like for that person.
Application:
You can add placeholders via the sidebar on the left by clicking on the “+”.
Here, we distinguish between company values (classically, information that is the same for all users of a signature) and user values. You can change the category at the top of the sidebar.
You can also change the values for the placeholder using the “Edit” button.
Note: Company data is stored in the company profile (visible at the top left), which means that the information changes for all signatures that use this data source!
If you obtain your user data from M365 or Google Workspace, manual editing of the data may not be necessary here, as it will most likely be overwritten during the nightly sync.
If you are satisfied with the appearance of the signature, you can save it at the bottom right and then distribute it to the desired departments.
After creating or changing a signature, it is important to roll it out again to apply the changes to live operation!
